Position Details

The Administrative Assistant (AA) is responsible for the professional representation of Family First to clients, staff, and office visitors. The AA provides administrative support of day-to-day business office operations. This role deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload and continually improve business office functions. This role is responsible for creating a positive office experience for all clients, visitors, and employees. In addition to answering and forwarding calls, scanning, and managing filing this role assists various departments in an as needed administrative capacity. The position assists with new administrative employee onboarding, is responsible for office maintenance issues, office supplies, vendor engagement and special projects as assigned.

Job Duties

* Phones: Utilization of a multiple-line phone system in a professional manner, including but not limited to responding promptly to incoming calls, call screening & triage, hold placement, and proper transfer. Directs phone calls to staff, voicemails and takes messages and schedules appointments as requested.

* Reception: Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts visitor to the appropriate location.

* Mail: Receives and sorts incoming and outgoing mail, documents, packages, and distributes to office staff accordingly

* Facilities & Technology: Operates as the subject matter expert (SME) and main point of contact for company phone systems, internet support providers, office equipment, and property management regarding maintenance issues.

* Clerical: Performs administrative and clerical support tasks as needed with reports, spreadsheets, recordkeeping, compiling education or marketing collaterals, new hire orientation materials and handbooks

* HR Support: Serves as a partner with Human Resources department regarding new employee onboarding, offboarding, and orientations including arranging for all new hire technology and office needs, office access keys, and alarm codes.

* Supply Inventory: Manages office supplies, orientation materials such as new hire packets, and handbooks.

* Scheduling: Manages company calendar and may be asked to support the calendars of leadership as needed

* Organization: Coordinate all administrative activities including but not limited to maintenance of office equipment, amenities, professional interaction with vendors as needed

* Exhibits a strong working knowledge of Company's business opportunities, employees, vendors, partners, key stakeholders, and organizational structure.

* Other duties as assigned.

Qualifications

* Professional Customer and Personal Service-Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality assurance for services, and evaluation of customer satisfaction as well as service recovery skills.

* Computer and technology proficient - strong knowledge of phone systems, MS 365, word processing software, database, email software, and documentation software. Must be able to take digital meeting minutes and complete real time documentation so 40-60 words per minute typing skills are required.

* Critical Thinking, judgement, and decision making-Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.

* Knowledge and adherence to HIPAA regulations - Ability to maintain confidential information.

* Time Management-Effective time management skills and the ability to meet deadlines while remaining focused and professional in an office environment.

* Writing-Communicating effectively in writing as appropriate for the needs of the family, professionals, and clients.

* English Language - the ability to express fluently in both written as well as oral form.

* Patient Rights-Knowledge of patient rights, basic guardian, attorney, homecare, and care management roles. Understands components of Quality of Life.

* Communication-the ability to speak professionally, clearly, and successfully articulate so others understand effectively communicate with the goal of understanding others and being understood, Ability to comprehend and understand the topic and source of information.

Compensation: Family First is committed to providing market competitive, equitable pay to all employees

$22.00-26.00 per hour
