Description:

Seattle Central College is looking to hire an Executive Assistant in President's Office.

The salary range for this position is $70,563 - $97,444 annually (depending on experience).

Opportunity is open until filled, first review of materials will begin May 5 th , 2025.

Position Summary

Under the supervision of the President, the Executive Assistant serves as the intermediary between the President and the greater college community, providing confidential and comprehensive administrative support to the President.

Responsibilities include but are not limited to: managing the operations of the President's Office, composing correspondence, scheduling, room scheduling, and compiling and preparing reports; developing, monitoring, and maintaining budgetary and financial records/files; creating and maintaining spreadsheets as well as establishing and maintaining manual and electronic database files; responding to in-person and telephone inquiries.

This position may supervise exempt, classified, student, and temporary employees as well as volunteers.

This position is Full-time, working 40 hours per week, Monday through Friday, primarily 8AM to 4:30PM.

This position works a hybrid schedule of both remote and on-site work.

What you will be working on:
  • Administrative Suite Management
Supervision of the Administrative Assistant 4 (AA4)
  • Directing work and advising the AA4 in their role at the front desk of the Admin Suite.
  • Managing front desk coverage and schedules.
  • Responding to emergency situations and providing training as necessary.
  • Manage the operations of the President's Office, an office of 30 people.
  • Provide professional and accurate customer service either in person, over the phone and/or in writing.
  • Compile information: review and edit a variety of documents; prepare and send correspondence on behalf of the President's Office including cross-college communications including hosting a monthly college-wide Town Hall.
  • Create and maintain spreadsheets as well as establishing and maintaining manual and electronic database files.
Direct President Support
  • Provide confidential and administrative support to the President.
  • Including, but not limited to written correspondence, recording minutes, transcriptions, editing, etc.
  • Manage the President's calendar: appointments, conferences, meetings, retreats and other travel commitments.
  • Exercise signature authority on administrative correspondence and contracts.
  • May represent and/or communicate on behalf of the President at meetings and conferences.
Financial Management and Budget Preparation
  • Prepare and assist in the preparation, compilation, and coordination of reports for financial, purchasing, inventory, and personnel records for President's Office.
  • Monitor and maintain budgets and expenditures; evaluates costs for expenditures.
  • Manage and reconcile department credit cards, including the President's Discretionary card and Foundation credit card.
  • Complete all travel related documents for the President.
  • Complete finance and payroll documents using electronic approval process.
  • Manage time and leave for President's direct reports, as well as personal services contracts and stipends for President's Office.
President's Office Liaison
  • Serve as liaison between the President's Office to the Seattle Colleges internal community, the State Board as well as the public.
  • Serve on the Washington Association of Community and Technical Colleges President's Assistants' Professional Group.
  • Use sound judgment to respond verbally and/or in writing to requests regarding institutional and administrative policies, guidelines, and procedures and effectively resolve such inquiries in a manner consistent with the College mission, values, and policies.
  • Facilitate, support and coordinate presidential campus committees such as College Council and hiring committees.
  • Manage President's Office events and events supported by the President's Office
  • Coordinate facilities reservations, refreshments requests, catering, travel and other event arrangements for on and offsite events and meetings.
  • Some of these may include but are not limited to: President's Day, Employee Service Awards, Board of Trustees meetings, District-wide Management meetings, President's Cabinet, Executive Team, and other ad-hoc committees.
  • Coordinate various standing processes, including the President's portion of the tenure process, exempt evaluation process for the President's direct reports, the College Council application process, exempt contract renewal, Student Conduct appeals, emergency service planning etc.
  • Take initiative to troubleshoot and resolves concerns and/or claims on behalf of the President.

What you bring as a candidate: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)
  • Bachelor's degree in fields related to Business Administration OR any combination of relevant education, training and experience that indicate successful performance of the essential elements of the position.
  • Four (4) or more years of increasingly responsible administrative experience, secretarial functions, and professional support.
  • Demonstrated excellence in written and verbal communications skills.
  • Demonstrated experience in providing culturally and equity responsive service to underrepresented, marginalized and vulnerable populations
  • Demonstrated problem-solving and organizational skills, including project management skills
  • Demonstrated experience working with technology and ability to adapt to new systems including strong computer skills in Microsoft Office, Word, Excel, PowerPoint, Outlook, Adobe Acrobat, etc.
  • Demonstrated ability to work and carry out multiple assignments under pressure with short deadlines and/or frequent interruptions or distractions.
  • Demonstrated ability to exercise effective discernment and judgment in handling sensitive and confidential information.
