Qualifications
Bachelor's degree in business, communications or human resources preferred.
A minimum of 2 years experience and a demonstrated track record of accomplishments in human resources or a related position.
Exceptional computer skills and knowledge of software products such as Google Docs, Excel and Word.
Effective communication skills.
Successful completion of fingerprint based criminal background check (IL State Police and FBI), sex offender and violent youth offender screening, and employment physical.
REPORTS TO: Superintendent
JOB GOAL: To provide a wide variety of complex and confidential administrative support to the superintendent and district office to ensure efficient and effective school district operations and compliance.
Duties And Responsibilities
Maintains employment application system, including posting job vacancies.
Verifies licensure for new licensed staff and monitors expiration dates for current staff.
Creates salary and benefits estimates for licensed applicants per the collective bargaining agreement.
Coordinates onboarding for new employees and substitute teachers.
Assists with health and life insurance enrollment for new staff members and changes for current staff members.
Assists in managing the processing of all resignations, retirements and terminations.
Maintains locked confidential personnel files on all certified and non-certified employees, in a well-organized, orderly fashion.
Maintains records of all evaluations and disciplinary action.
Maintains the Absence Management System for employees and substitutes.
Ensures that all employee handbooks and job descriptions are current.
Assists with reduction in force/staff initiatives as well as releases and transfers, including the Senate Bill 7 Annual Reports.
Assists in managing the staff database and all seniority lists, coursework additions and transcripts.
Maintains necessary documents, files and records for the purpose of providing up-to-date references and audit trail for the ROE Compliance Audit.
Coordinates accident reporting procedures for all district staff members.
Coordinates with the Worker's Compensation adjusters on work related injuries.
Coordinates Worker's Compensation benefits with payroll benefits for injured employees.
Processes and maintains OSHA reporting and logs.
Coordinates the FMLA leave of absence process.
Collaborates with and assists the business services director on the payroll process and maintaining the payroll system.
Coordinates the property, liability and auto insurance renewal process.
Files claims associated with property damage, liability claims, or bus accidents.
Acts as the district's Freedom of Information Act (FOIA) Officer.
Ensures all staff are current with requirements related to certification and mandated staff training.
Prepares and files federal, state and district reports, including all staff related reporting to the Illinois State Board of Education
Responds to inquiries (including telephone calls) from students, parents and employees, providing information, facilitating communication among parties and/or providing direction.
Assists with the security access system.
Maintains the district's Approved Provider status for professional development, including maintaining documentation for the ROE audit.
Assists with tracking, recording and distributing professional development documentation for staff.
Reports regularly to the superintendent on any developments or problems within the district coming to his/her attention and requiring the superintendents' awareness or action.
Establishes and maintains cooperative working relationships with others.
Maintains regular attendance and punctuality to ensure teamwork and the completion of job duties essential to the daily operation of the school.
Performs other related tasks as assigned by the superintendent.
Adheres to a professional code of ethics which includes confidentiality of school related matters and loyalty to the school district.
