*This position has been posted within the assigned pay range through Step L. Step M has not been published as this is considered the longevity step, in alignment with state HR compensation rules.
*Position(s) at this location will also receive 5% Premium Pay for 24/7 facilities. Employees must physically work at the facility 3 days per workweek to qualify. The 5% Premium Pay is in effect until June 29th, 2025.

These locations provide Medicare and Medicaid nursing home care to Veterans, including, in some instances, their spouses, widows, or Gold Star Families.
As a front-line representative of our facility to internal and external stakeholders this position assures a positive image of the care we provide our residents. This is achieved by communicating professionally with outside agencies, physician's offices, resident family members and other healthcare facilities, as well as with internal counterparts, co-workers and other departments. This role requires the health unit coordinator to continually coordinate treatment options/referral appointments and communicate professionally with various disciplines.

Duties
Some of what you will be doing:
- Use and maintain Outlook Calendar schedule an arrange transportation for all Resident Specialty Care appointments. Post daily calendar of resident appointments.
- Communicate with family members on scheduled appointments to include a progress note regarding the appointment transportation.
- Prepare resident referrals for physician and consultants to include copies of pertinent information to assist with continuation of patient care.
- Print and deliver appointment reminders to residents.
- Assist with scheduling appointments from new orders, relaying messages, fax documents to consulting providers when requested.
- Complete the Verification of Funding Assessment for each outside medical.dental appointment
- Ensure outside facilities have appropriate information regarding billing and authorizations pertinent to the scheduled appointment.
- Update and maintain resident appointment tracker sheet.
- Prepare and maintain medical charts per facility and department procedures.
- Medical record maintenance; including entering Physician Order into PCC; prepare paperwork for Resident transfer to Hospital, ER, or other care setting.
- Place physician orders (PO), Medication Administration Record (MAR) and Treatment Administration Record TAR in next month binder at the end of each month on day of printing for nursing recapitulation (recaps). Request medical record from outside facilities as requested. Reserve room in Outlook Calendar for various meetings.
- Prepare monthly flowsheets and set up books appropriately.
- Medical record maintenance; includes scanning/uploading documents into the HER using the appropriate naming convention, creating/assembling hard charts, and filling.
- Perform specific audits per rules, guidelines as requested by supervisor
- Request signed medical records from outside facilities as needed and after each outside visit.
- Files: forms, orders, lab results, and other paperwork.
- Distribute inter-facility mail from mailbox to unit; transport charts within facility as necessary;
- Compile/gather records for chart after resident discharge.
- Assist with coordinating and scheduling of all nursing staff and maintain 24/y nursing coverage.
- Print and post permanent nursing care schedule on a monthly basis for floor planning and daily staffing.
- Maintain scheduling daily sheets, call in logs and timesheets on each floor.

Preferred/Desired: - Prior Medical Records/Health Information experience. Medical Terminology. Medical filing experience. Basic ICD-10-CM Coding experience/knowledge. HIPAA legislation regulation knowledge.
Special Requirements: - Must be able to pass a DSHS BCCU Background Check prior to beginning services and every two (2) years in accordance with WDVA Policy 615.000 Background Checks. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.
- Must comply with annual Tuberculin Screening in accordance with DVA policy 670.000 Tuberculosis Testing.
- Requires medical evaluation, fit testing, training, and use of respiratory protection as required by the Washington Industrial Safety and Act standards. Must be able to wear a respirator, medical gloves, gowns, eye protection, and other personal protection as required by a job or task.
- Positions requiring travel must have a valid unrestricted driver's license and must be insured if driving a privately owned vehicle on state business.
- Maintain regular and reliable attendance.
- Successfully complete, within mandated timeframes, employee orientation and all other mandatory annual, in-service, and other required training.
- Become familiar and comply with all DVA policies and procedures and Collective Bargaining Agreements as applicable.

Employees also have the ability to participate in the Deferred Compensation Program (DCP). Social Security All state employees are covered by the federal Social Security and Medicare systems. The state and the employee pay an equal amount into the system.

Holidays Full-time and part-time employees are entitled to paid holidays and one paid personal holiday per calendar year.
Note: Employees who are members of certain Unions may be entitled to additional personal leave day(s), please refer to position specific Collective Bargaining Agreements for more information.
Full-time employees who work full monthly schedules qualify for holiday compensation if they are employed before the holiday and are in pay status for at least 80 nonovertime hours during the month of the holiday; or for the entire work shift preceding the holiday.
Part-time employees who are in pay status during the month of the holiday qualify for the holiday on a pro-rata basis. Compensation for holidays (including personal holiday) will be proportionate to the number of hours in pay status in the month to that required for full-time employment, excluding all holiday hours. Pay status includes hours worked and time on paid leave.
Sick Leave Full-time employees earn eight hours of sick leave per month. Overtime eligible employees who are in pay status for less than 80 hours per month, earn a monthly proportionate to the number of hours in pay status, in the month to that required for full-time employment. Overtime exempt employees who are in pay status for less than 80 hours per month do not earn a monthly accrual of sick leave.
Sick leave accruals for part-time employees will be proportionate to the number of hours in pay status, in the month to that required for full-time employment. Pay status includes hours worked, time on paid leave and paid holiday.
Vacation (Annual Leave) Full-time employees accrue vacation leave at the rates specified in (1) or the applicable collective bargaining agreement (CBA). Full-time employees who are in pay status for less than 80 nonovertime hours in a month do not earn a monthly accrual of vacation leave.
Part-time employees accrue vacation leave hours in accordance with (1) or the applicable collective bargaining agreement (CBA) on a pro rata basis. Vacation leave accrual will be proportionate to the number of hours in pay status, in the month to that required for full-time employment.
Pay status includes hours worked, time on paid leave and paid holiday.
As provided in , an employer may authorize a lump-sum accrual of vacation leave or accelerate the vacation leave accrual rate to support the recruitment and/or retention of a candidate or employee for a Washington Management Service position. Vacation leave accrual rates may only be accelerated using the rates established WAC 357-31-165.
Note: Most agencies follow the civil service rules covering leave and holidays for
exempt employees even though there is no requirement for them to do so. However, agencies are required to adhere to the applicable RCWs pertaining holidays and leave.
Military Leave Washington State supports members of the armed forces with 21 days paid military leave per year.
Bereavement Leave Most employees whose family member or household member dies, are entitled to three (3) days of paid bereavement leave. In addition, the employer may approve other available leave types for the purpose of bereavement leave.
