Works directly with the Dean, Associate Dean, faculty and other staff in matters of student academic records, computing grades, preparing meeting agendas, and minutes of faculty meetings.

Enter and update students records every semester in an excel sheet and categorize student status (P1, P2, Dismissed, Probation, I/F, etc.).

Maintain students' remediation exam records and determine eligibility.

Perform data analysis of average difficulty using tables, graphs and basic statistics. Submit final reports to department administrators and/or managers upon request.

Keeps track of off-track student list and communicates with success coach and academic dean every semester.

Learn Examsoft and assist students to troubleshoot issues.

Provide student progression information as needed in the form of tables and graphs.

Responsible for classroom assignments and meeting locations. Schedule room reservations in HSL library for classes and exams

Schedules and assists with administering and proctoring, PCOA and Pre-NAPLEX exams.

Assist students in the PCOA registration process with NABP by the deadline.

Accurately prepare class schedules and exam schedules and exam blocks.

Prepare the college academic calendar and college financial aid calendar.

Assist with P4 oath and awards ceremony and the university graduation committee meetings.

Compile graduating student data and requirements in preparation for certification and the graduation ceremony.

Prepare enrollment verification, board applications, graduation clearance.

Prepare minutes, notices, manuals, agendas and correspondences with all supporting documents.

Record and maintain agenda and assist with minutes from faculty meetings and distribute them accordingly.

Update and maintain student academic records, letters, database and registration data/paperwork, policies, and procedures.

Prepare academic related letters for the students and alumni as needed for licensure, internships etc.

Prepare students' letters of good academic standing, graduation, and others for signature by the Associate Dean.

Maintain a complete and current database on all students to include number of students enrolled, dismissed and graduated. Enter students' grades into databases.

Learn the banner system and maintain proper record keeping, grade input, maintenance, and GPA updates.

Perform registration of all traditional and nontraditional PharmD students in the banner system every semester. Advising students on appropriate enrollment.

Prepare Trustee Scholarships/emergency loans and financial aid request.

Schedule appointments, meetings and conferences for administrators as needed.

Create and manage office filing systems. Responsible for filing correspondence and other items accordingly.

Coordinate with receptionist on the workflow of the office. Develop and Implement office procedures and practices as appropriate with relation to Academic Affairs. Perform directives from supervisor to coordinate administrative procedures within Academic Affairs department and/or among other offices.

Receive and screen telephone calls and visitors and provide appropriate assistance as needed.

Assists with department events and meetings and provide on-site guidance to visitors and guests for university related events as needed from the dean's office.

Perform other job-related duties as assigned.

Minimum a bachelor's degree required in business or administration or similar and 3-6 years of experience. Master's degree is preferred. Knowledge of Banner, and other registration software is preferred.

Compliance Salary Range Disclosure

Expected Pay Range: $59,090 to $65,000
