SUMMARY OF POSITION:
The Bookkeeper reconciles all bank accounts and manages stale dated items. They monitor the cash balances to help ensure there are sufficient funds available to pay operating expenses and payroll. They monitor and reconcile the various general ledger accounts every month and manage the designated gifts. They backup accounts payable by entering invoices. They are the liaison for the external auditors. They pay excise taxes, renew business licenses, renew property tax exemptions and annual reports. They monitor compliance with internal controls and financial policies and provide guidance and instruction when necessary.
DUTIES & RESPONSIBILITIES:
Key Result Area #1: Accounting
•Retrieve bank account activity and reconcile sales transactions every day.
•Reconcile bank statements and GL accounts every month using spreadsheets.
•Complete month end procedures by the second Friday of each month.
•Prepare and pay WA Sales and Use Tax returns by the 25th of each month, ID by the 20th.
•Monitor Aftercare Housing rent deposits and income.
•Assist Accounts Payable to enter invoices when necessary.
•Ensure Form 990 is completed by January 31st and available for Marcom. Ensure 990t is completed in May.
•Inform the Director of Finance of any economic or operating conditions that may affect UGM.
•Produce and maintain a procedure manual for all accounting functions.
•At least once a year before the fiscal year end reconciling petty cash funds in every department.
Key Result Area #2: Administration
•Renew UGM (WA and ID 11/30) and UGM Foundation (3/31), UGM Properties and UGM LC Properties State Annual Reports on time.
•Renew business licenses for UGM, Motors, Thrift Stores, and Trailer Inns RV Park by (11/30) of each year.
•Renew Property Tax Exemptions by (3/31) of each year.
•Renew Transient Accommodation License and Occupancy Permit each year.
•Renew DFDO permit every two years.
•Ensure reseller permits for the Motors and stores are renewed every three years.
SKILLS & QUALIFICATIONS:
•Grounded in the Christian faith as a mature, active member of the body of Christ. In accordance with Union Gospel Mission Statement of Purpose, Statement of Vision and Statement of Faith.
•Strong Interpersonal skills - exercise compassion and discernment while modeling the teachings of Jesus Christ.
•Able and willing to honor the leadership, chain of command, standards and ministry objectives of Union Gospel Mission.
•Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
•Excellent communication skill including written, verbal and instructional.
•Must have a teachable spirit and the ability to multi-task, listen, and make sound decisions in alignment with UGM's purpose.
•Insightful, trustworthy, honest, reliable, model appropriate boundaries, and strong work ethic.
•Criminal background check clearance - required.
WORKING CONDITIONS/PHYSICAL FACTORS:
Occasionally = 1%-33%; Frequently = 34%-66%; Continuously = 67%-100%
•Work is primarily indoors and may require sitting, standing, bending, reaching, and going from building to building - frequently.
•Requires a sustained level of high energy, stamina, and the ability to move about all of the facilities on a regular and ongoing basis - occasionally.
•Requires the ability to hear, see, and speak clearly - continuously.
EQUIPMENT/TOOLS USED:
•Computer (MS Word, Excel, Power Point, Outlook, Google Chrome)
•Projector and AV equipment
EDUCATION/EXPERIENCE:
•AA or BA in Accounting and related experience and training in the accounting field including excellent references.
