Reports To: Superintendent
Classification: Non-Representative Classified
Work Year: Temporary (January 6, 2026 - July 31, 2026); 20 hours per week
FLSA Status: Non-Exempt
Salary: $20.00 per hour
Benefits: Non-Benefit Eligible

Position Summary

The Accounts Payable Specialist performs a variety of financial, clerical, and accounting duties related to the processing, recording, and maintenance of accounts payable transactions. This position ensures timely and accurate payment of invoices, maintains compliance with district policies and state/federal regulations, and provides excellent service to vendors, staff, and administrators.

Essential Duties and Responsibilities

  • Process vendor invoices, purchase orders, and payment requests accurately and in accordance with district policies and state audit requirements.
  • Review and verify invoices for proper approval, account coding, and documentation before payment.
  • Prepare and issue accounts payable checks and electronic payments on a regular schedule.
  • Maintain vendor files, including W-9 forms and compliance with IRS 1099 reporting requirements.
  • Reconcile accounts payable transactions and assist in month-end and year-end closing activities.
  • Respond promptly to vendor inquiries and resolve payment discrepancies or disputes.
  • Monitor open purchase orders, ensuring timely closure and accurate encumbrance reporting.
  • Collaborate with building secretaries, administrators, and other departments to ensure proper expenditure tracking and budget alignment.
  • Assist in reconciling district credit card statements and travel reimbursements.
  • Maintain and organize financial records for annual audits and internal reviews.
  • Prepare reports, spreadsheets, and summaries as requested by the Business Manager or Superintendent.
  • Provide backup support for other Business Office functions, including payroll, receipting, and deposits, as needed.
  • Maintain confidentiality of sensitive financial and personnel information.

Qualifications

Required

  • High school diploma or equivalent.
  • Two years of accounting, bookkeeping, or clerical experience, preferably in a school district or public agency.
  • Demonstrated proficiency with Microsoft Excel, Word, and accounting software systems.
  • Strong attention to detail, accuracy, and organizational skills.
  • Excellent communication and customer service skills.

Preferred

  • Associate's degree in accounting, business, or a related field.
  • Experience with Skyward Qmlativ or similar ERP systems.
  • Knowledge of Washington State school accounting principles, auditing standards, and applicable RCWs/WACs.

Working Conditions

  • Office environment with frequent interruptions.
  • Requires sitting for extended periods and occasional lifting of up to 25 pounds.
  • Regular interaction with staff, vendors, and the public.

Evaluation

Performance of this position will be evaluated annually by the Superintendent or designee in accordance with district policy.
