SUMMARY OF POSITION:
Provides all needed administrative assistance to the Director. Oversee all administrative functions of the Rescue and Recovery departments. The Executive Assistant is responsible for overseeing and managing all Rescue and Recovery volunteers ensuring they understand and have all materials to complete their assigned duties. Responsible for ordering and maintaining all the Men's Program materials, calendars, classroom schedules, class evals, counselor notebook assembly, and class notebooks. and complete other duties as assigned by the Director of the Men's Mission.
SUPERVISORY RESPONSIBILITIES:
This position directly coordinates training and oversees the Volunteers and Associate staff assigned to the Men's Mission.
DUTIES & RESPONSIBILITIES:
Key Result Area #1: Provide Assistance to the Director
• Assist the Director in the implementation of the ministry-wide Strategic Plan at the Men's Mission.
• Assist Director to ensure that Men's Mission departmental strategic objectives are met.
• Ensure good communication between the director and Men's Mission staff.
• Meet regularly with the director to strategize program components, events, activities, and other responsibilities.
• Provide ongoing support to the director in meeting daily objectives/responsibilities.
• Provide support to any ministry programs and services as needed.
• Assist the director in the management of personal, program, and staff schedules.
• Participate in weekly program meetings; keep treatment team notes and send them to the team in a timely manner.
• Maintain confidential and sensitive information.
• Complete a variety of special projects as assigned, including the creation of PowerPoint presentations, special reports, and agenda-related material.
• Maintain and refine the internal process that supports the director and ministry.
• Convey in a timely manner pertinent information to Director related to operations, program, personnel, public relations, policies, ministry events, etc.
• Provide assistance to both the Life Recovery and Guest Care Programs.
• Communicate on behalf of the director as needed or requested.
• Serve as a liaison to other UGM ministries as requested by Director, including safety, holiday, conference, training, or annual gathering committees and others.
• Represent the director in his absence.
Key Result Area #2: Office Administration
• Assist the Director with projected budget and management of budget; act as the Centralized Purchasing Agent for Men's Mission overseeing the process of PO's, invoices, petty cash, credit card, gift cards, and donations in a timely manner.
• Ensure all new employees receive necessary administrative support/training, new employee checklist provided, etc.
• Order office supplies based off of requests.
• Keep the Men's Mission house calendar up to date.
• Register Men's Mission staff for various trainings and seminars.
• Assist program department by ordering books, notebooks and essential supplies as needed.
• Provide administrative support to teaching, program, RA, Case Management and Next Steps department.
• Provide assistance in the creation and distribution of program calendar and teaching schedule.
• Ensure resident forms are current and updated by administrative team.
• Provide IT and Waypoint support as needed.
• Oversee the management of the sound equipment -- training staff /residents.
• Provide residential administrative support as directed by counsellors or client service manager
• Ensure monthly stats are completed and sent to appropriate departments.
• Submit monthly UGM Board Statistic Report.
Key Result Area #3: Training & Management.
• Equip the volunteers to effectively fill the role assigned.
• Train volunteers and provide ongoing support
• Train and manage Associate Staff and High Impact Volunteers in their assigned ministry areas, taking functional ownership of ministry responsibilities.
• Have regular monthly check-ins with volunteers.
• Schedule and coordinate bi-annual volunteers appreciation events.
SKILLS & QUALIFICATIONS:
• Committed Christian, able and willing to model servant-leadership and interested in being part of a ministry for the poor, homeless, drug addicted and mentally ill. Grounded in the Christian faith as a mature, active member of the body of Christ. In accordance with Union Gospel Mission Statement of Purpose, Statement of Vision and Statement of Faith.
• Strong Interpersonal skills - exercise compassion, respect and be capable of cultivating productive working relationships across the ministry, while modeling the teachings of Jesus Christ.
• As a unified team member, will honor the leadership, chain of command, and standards and ministry objectives of Union Gospel Mission.
• Follows UGM policy regarding addressing and resolving conflict amongst team members, volunteers, & residents.
• Know and able to communicate and embrace UGM's cultural Core Values and their indicators. The Core Values are applied and observed
• Computer literate with a high proficiency using Word, Excel, Outlook; able to complete documents, reports and accurately record information.

• Minimum 3 years of sobriety, if in recovery.
• Valid Washington or Idaho driver's license- required.
• Yearly TB clearance - required.
• Criminal background check clearance - required.

• Work is primarily indoors. It requires occasional climbing stairs, sitting, standing, bending, and reaching - continuously.

EQUIPMENT/TOOLS USED:
• Computer, Microsoft Office, Office 365 products, Virtuous CRM, UKG HR, Copier, Fax, Scanner, Reader Board, AV equipment, Multi line phone system.
EDUCATION/EXPERIENCE:
• Minimum Two-year college degree in applicable field of study, or equivalent years of experience managing an office.
• 2 plus years in Administrative/Executive Management preferable.
• Experience using Microsoft Word, Excel, and power-point.
• Experience in customer service with exemplar inner personal skills.
• Highly organized with experience in managing and meeting deadlines
