The Assistant Registrar, Academic Progress plays a key role within the Registrar's Office, providing expert guidance and training to students, faculty, and advisors on academic programs, degree progression, and academic policies. This position monitors and communicates student program and degree progress across all student populations, ensuring accuracy and transparency in academic records.
In this role, you will oversee student program changes and manage key processes, including program exceptions, directed study registration, and degree conferral. By maintaining the integrity of credit and degree evaluations, this position upholds Whitworth University's academic standards.
Academic Program and Policy Expertise, Evaluation & Compliance | 40%
- Provide expert guidance to students, faculty and professional advisors on program requirements and pathways to degree completion for all academic programs
- Process program change requests and update student evaluations and records
- Interpret, maintain, and produce academic evaluation reports for students and advisors
- Monitor all traditional and non-traditional student programs and degree progress
- Provide guidance and expertise regarding transfer and alternative credit policies and processing
- Articulate and enforce university policies in regard to academic programs, degree completion, grades and transfer/alternative credits
- Collaborate on incomplete, midterm and final grade processes, reporting and communication
- Maintain expertise in technology as it relates to academic programs, evaluations, and degree conferral
Curricular Revisions & Exceptions | 20%
- Provide guidance to university curriculum committees and program leadership regarding impacts of program updates and revisions
- Maintain database of of approved department curricular substitutions
- Articulate and enforce university policies in regard to program substitutions and waivers and manage the processes for all academic programs
- Assist with Directed Study policy enforcement and course registration
Advising, Training & Strategic Communication | 15%
- Develop and provide tutorials on the functionality and use of Self Service academic modules for students, staff and faculty advisors
- Create and conduct workshops and trainings for campus community regarding registration processes, degree completion planning, graduation applications and other vital academic processes/procedures
- Train professional and faculty advisors in advising best practices, resources and systems
- Produce advising reports for professional and faculty advisors and department leadership
- Develop and execute strategic communication plans for students and advisors each academic year taking into consideration important academic milestones and deadlines impacting student degree progression
Graduation Applications & Degree Conferral | 15%
- Develop and manage graduation application process for the university, providing guidance to students and advisors regarding the process
- Determine student eligibility and manage application access for all populations
- Maintain graduation application data and create and distribute reports to advisors, department leadership and administrators
- Oversee the degree conferral process and provide support for federal degree reporting
- Assist the Commencement Coordinator with department and graduate communications, regalia tracking, program production and other commencement processes
Other | 10%
- Support the registration process and programs for all incoming first-year and transfer students
- Assist with catalog editing and academic program building and updates
- Collaborate with staff and faculty on transfer credit evaluation processes and policy development and enforcement

- 2-3 years of relevant work experience in confidential customer service or student service environment, or related administrative role, preferably in a higher education environment. Relevant education and experience combinations are welcomed.
- Strong proficiency in data management systems and MS Office Suite (especially Excel).
- Experience with student information systems (e.g., Colleague, Banner) and familiarity with FERPA regulations is highly preferred.

Schedule
1.0 FTE | 12 months | 40 hours per week
Whitworth's office hours are Monday - Friday, 8:00 AM to 4:30 PM
