Summary Of Position

The Payroll & Benefits Clerk plays a key role in supporting the dealership's administrative and HR functions. This position is responsible for processing accurate and timely payroll for Knudtsen Auto Group (Knudtsen Chevrolet, Knudtsen Foothills, Knudtsen Foothills ABRA, Knudtsen Auto Group), reconciling and administration of benefits, maintaining accurate records, and ensuring compliance with federal, state, and dealership-specific policies. The ideal candidate is detail oriented, computer savvy, organized, and comfortable working in a fast-paced automotive retail office environment.

Responsibilities

Payroll Administration

  • Process semi monthly payroll for Knudtsen Auto Group employees.
  • Verify timecards, commission sheets, flat rate hours, bonuses, spiffs, and other pay related items.
  • Ensure payroll accuracy by reviewing entries for compliance with dealership policies and labor regulations.
  • Post and reconcile all payroll and benefits accounts into respective accounting software systems.
  • Maintain payroll records and respond to employee payroll inquiries.
  • Coordinate with department managers to resolve discrepancies or missing information.

Benefits Administration

  • Assist employees with enrollment, changes, and questions related to benefit premiums.
  • Process benefit deductions and ensure accurate payroll integration.
  • Maintain benefit files and support annual open enrollment activities.
  • Communicate with Human Resources to ensure employee inquiries and needs are being met.
  • Partner with HR to ensure timely invoicing and reconciliation of all benefit plans is occurring monthly.

HR & Compliance Support

  • Assist with technical onboarding of employees including:
    • Create user accounts in all dealership software platforms.
    • Set up logins for CRM.
    • Set up access levels in Netchex.
    • Set up company email accounts and distribution lists.
    • Set up applicable employees with a gas card at both locations.
    • Ensure proper access to share folders and systems.
    • Assist with MFA setup if needed.
    • Assist with set up of workstations, mobile devices, tablets, etc.
    • Communicate with managers and HR and manage tracking forms for account set up.
    • Maintain confidentiality and support accuracy of personnel files (digital and hard files).
    • Assist with deferring employee questions about benefits plan specifics to HR.
    • Support compliance with federal and state labor laws, dealership policies, and manufacturer requirements.

General Administrative Duties

  • Provide administrative support to the Knudtsen Auto Group office functions.
  • Assist with audits, including payroll, benefits, and workers' compensation.
  • Support dealership events, employee programs, and internal communications.
  • Other tasks as assigned.
Qualifications
  • Previous payroll or benefits experience required; automotive dealership experience is a plus.
  • Familiarity with payroll systems (ADP, Paychex, Netchex or similar).
  • Strong understanding of payroll regulations, wage laws, and benefit processes.
  • High attention to detail and strong organizational skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficiency in Microsoft Office (Excel, Word) and general office software.
  • Strong communication and customer service skills.
  • A team player focused on providing exemplary customer service.
  • Self-motivated and hard-working.
  • Proficient oral and written communication skills, and the ability to read and interpret documents.
  • Have a valid driver's license.
  • Pass a motor vehicle report and possess a safe driving record.
  • Pass a criminal background check and drug test.
  • Also subject to random drug testing, reasonable suspicion drug and alcohol testing, and post-accident testing at the company's request.

The Payroll and Benefits Clerk may be required to stand for long periods of time, sit for long periods of time, walk with customers and team members, lift and/or carry up to 30 pounds, balance, stoop, kneel and crouch. The employee is frequently required to use hands to finger, handle, feel and reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The environment for this employee is generally a quiet office setting and may require occasional visits to the dealership departments such as Sales and Service. The employee may be required to walk outside the dealership property and may encounter inclement weather (minimal exposure if any).
