SUMMARY OF POSITION:

The Donations Processing Supervisor manages the activities associated with receiving, recording, and receipting of financial donations. The team's essential duties include leading and training staff, managing the donor database, and providing customer service to our Ministry Partners. They also provide support for other activities directed toward Ministry Partner relationship development.

SUPERVISOR DUTIES:

Lead and train 2 to 3 full or part time employees in receiving, recording, and receipting financial donations in the donor database.

DUTIES & RESPONSIBILITIES:

Key Result Area #1: LEADERSHIP AND MANAGEMENT

  • All staff and volunteers know and practice UGM's Core Values. Core Values are applied and observed.
  • High quality customer service is provided to promote and retain relationships between Ministry Partners and UGM.
  • A success matrix is maintained with meaningful statistics to substantiate the effectiveness of departmental efforts.
  • The Development Director is aware of all critical activities including staff, operations and programming.
  • Outcome Based Management Processes (SWOT's, SMART Goals, One-on-One's, etc.) are followed.
  • SMART Goals are being identified and achieved.
  • Serve on the Development Directors, Development Department Leadership Team.
Key Result Area #2: DONATIONS PROCESSING
  • Address all Ministry Partner "customer service" calls and issues within 24 business hours.
  • Coordinate Donations Processing operations with external vendors, agencies, and organizations to ensure efficient operations.
  • Ensure remote deposits are completed daily and that all associated income reports are provided to the Finance Department
  • Implement internal policies and procedures to ensure the safeguarding of the private information of our Ministry Partners.
  • Ensure the team processes credit cards, ACH transactions and direct deposits within 24 hours of date of receipt.
  • Make sure the proper data entry codes and templates are used to ensure accuracy of information entered into Virtuous.
  • Perform general database and ministry partner record maintenance.
  • All UGM Foundation deposits are made within two days.
  • All monthly and periodic reports are completed within 7 days of the month end.
  • Focus teams' efforts to ensure that Ministry Partner receipts and thank you letters are ready for mailing within 24 hours of initial receipt
  • All potential internal improvement projects and new departmental initiatives are discussed and approved before starting.
Key Result Area #3: DATABSE MANAGEMENT
  • Plan out and set up all the campaign codes for the calendar year.
  • Organize communication tools and set them up so that they align with the ministry goals.
  • Create segment names and codes that align with ministry goals, monitor, and adjust them when necessary.
  • Create clear database rules for how information is to be captured and ensure that all the database users are working in accordance with those rules, provide correction and training when necessary.
Key Result Area #4: REPORTING
  • Compile and analyze giving information for longitudinal reports and provide suggestions for ministry leaders.
  • Analyze giving methods, donor metrics, and giving strategies for the rest of the ministry to aid in decision making.
  • Provide requested information for ministry partners for financials, donor info, gift info, or any other related reporting that is housed in the CRM.
  • Provide monthly and then annual reporting on all the donations to the ministry.
Key Result Area #5: ADMINISTRATIVE and FINANCIAL OVERSIGHT
  • Collaborate with the Director of Development on the department's budgetary requirements.
  • Ensuring proper stewardship of limited funds by personally tracking expenditures on UGM related activities.
  • Collaborate with other departmental leaders on creation of annual budget as needed.
  • Submit all UGM credit card receipts and invoices in 24 hours.
  • Adherent to all HR and organizational policies and procedures.
SKILLS & QUALIFICATIONS:
  • Committed Christian, able, and willing to model servant-leadership and interested in being part of a ministry for the poor, homeless, drug addicted and mentally ill. Grounded in the Christian faith as a mature, active member of the body of Christ. In accordance with Union Gospel Mission Statement of Purpose, Statement of Vision, and Statement of Faith.
  • Demonstrated personnel leadership skills.
  • Strong Interpersonal skills - exercise compassion and discernment while modeling the teachings of Jesus Christ.
  • Able and willing to honor the leadership, chain of command, ministry standards and objectives of Union Gospel Mission.
  • Computer literate (Word, Excel, Outlook, Database mgmt.); able to complete documents, create complex queries, build tables, and accurately record information. I am willing to continue education as needed or required.
  • Excellent communication skills required for the role including written, verbal and instructional.
  • Must have a teachable spirit and the ability to multi-task, listen, and make sound decisions in alignment with UGM's purpose.
  • Insightful, trustworthy, honest, reliable, model appropriate boundaries, and strong work ethic.
  • Criminal background check clearance - required.
WORKING CONDITIONS/PHYSICAL FACTORS:

Occasionally = 1%-33%; Frequently = 34%-66%; Continuously = 67%-100%
  • Work is primarily indoors and may require sitting, standing, bending, reaching, and going from building to building - Continuously.
  • Requires a sustained level of high energy, stamina, and the ability to move about all the facilities on a regular and ongoing basis - frequently.
  • Requires the ability to hear, see, and speak clearly - continuously.

  • Projector and AV equipment
EDUCATION/EXPERIENCE:
  • Bachelor's degree in business, Leadership, or some other related field.

Union Gospel Mission is a privately funded 501 (c)3 non-profit, evangelical Christian ministry. Our designated purpose is religious, and we are a Christ-centered ministry which is dedicated to sharing the Gospel and helping the homeless and impoverished.
