Environment Control corporate office has an immediate opening for an Executive Assistant to the President. This role requires a servant-minded approach, quiet leadership – with decision making skills, exceptional professionalism, and a traditional understanding of the responsibilities and expectations associated with the position. Requirements

Bachelor's degree preferred, or equivalent experience.

Minimum of 8-10 years of experience supporting C-level executives (COO/Operational executives preferred) in a fast-paced, high-growth environment.

Availability required during all business hours and as needed outside of standard hours.

Proven experience in managing complex business and personal calendars.

Demonstrated ability to take accurate and comprehensive meeting notes and minutes.

Exceptional organizational skills with a superior ability to manage multiple priorities, strong time management, meticulous attention to detail, and a highly organized approach to tasks and information.

Outstanding written and verbal communication skills, with the ability to articulate information clearly, concisely, and professionally to diverse audiences.

Advanced proficiency in Microsoft (Excel, Sheets, Docs, PowerPoint, Outlook etc.) and ability to work in Adobe suite, and Canva. Ability to quickly learn and adapt to new technologies and systems. Testing is conducted at first interview.

Demonstrated ability to handle highly sensitive and confidential information with the utmost discretion and integrity.

Strong analytical and critical thinking skills with the ability to identify problems, propose solutions, and make sound decisions independently when appropriate.

Day-To-Day Responsibilities:

Presidential Excellence

  • Be the face of professionalism in all interactions as a representative of the President.
  • The ability and willingness to both lead and follow, depending on the situation.
  • Supervise two employees
  • A high comfort level with technology and using it as a progressive tool. Willing to take the initiative on projects.

Initiative Management and Cross-Functional Coordination

  • Maintain initiatives across all functions for President and Operations division
  • Ensure programs are delivered on time by monitoring progress, flagging delays, and facilitating issue resolution
  • Stay one step ahead of the President on all initiatives by anticipating needs
  • Manage finances of EDS, NLC and additional onsite training.

Program Management

  • Oversee governance and prepare agendas for weekly/monthly meetings ensuring alignment with business objectives and strategic goals
  • Facilitate effective decision-making by coordinating the flow of information and ensuring timely communication between the President the leadership team

Content Management

  • Develop, edit, format, and proofread presentation for the President and all executive staff.
  • Prepare all PowerPoints, operate all online meetings, and provide technical support for smooth meetings.

Calendar/Meeting Management

  • Manage the President's personal and business calendars ensuring all meetings, events, and commitments are scheduled and aligned with strategic priorities
  • Manage meetings across the President leadership team and broader organization (ex. monthly All Team meetings)

Travel Coordination & Expense Management

  • Coordinate travel arrangements including flights, accommodation, and itineraries for in-person events and engagements
  • Submit expense reports and manage department expenses
