JOB OVERVIEW:The Customer Service Representative serves as the first point of contact for customers and leads while providing administrative and operational support across sales, marketing, and accounting functions. This role is responsible for accurate CRM management, customer follow‑up, scheduling support, and documentation handling, requiring strong communication, organization, and multitasking skills.KEY RESPONSIBILITIES:Customer & Lead Support* Act as the first point of contact for incoming calls, emails, and inquiries.* Perform lead follow‑up calls to support sales efforts and improve conversion rates.* Enter and manage new leads in the CRM system across three companies, ensuring accuracy and completeness.* Maintain and update customer, lead, and project records within the CRM system.Sales & Residential Support* Coordinate scheduling for residential sales representatives.* Prepare and process residential warranties and rebate documentation accurately and timely.* Support customer inquiries related to residential projects, warranties, and scheduling.Marketing & Tracking* Assist with marketing activity tracking, including lead source documentation and reporting support.* Accurately enter, update, and maintain customer, lead, and job information in CRM and job management systems to support operational and marketing workflows.* Ensure CRM data integrity to support accurate marketing analysis, reporting, and performance tracking.Administrative & Office Support* Process and distribute incoming and outgoing mail.* Perform accounts payable filing and maintain organized financial records as assigned.* Scan and upload project documentation to electronic filing systems.* Order and maintain office supplies, ensuring adequate inventory levels.REQUIREMENTS:* 1-3 years of experience in customer service, administrative support, or office coordination.* Experience with CRM systems and multi‑company environments preferred.* Strong verbal and written communication skills.* Customer‑focused mindset with professional phone etiquette.* High attention to detail and data accuracy.* Ability to manage multiple priorities in a fast‑paced environment.* Proficiency in Microsoft Office and CRM platforms.* Strong organizational and follow‑up skills.
