Job Summary

Cline's Heating and Air is building a team that sets the STANDARD in our market and seeks a Director of Finance and People to own the financial integrity of the business and the systems thatsupport our team. This role involves overseeing financial reporting, payroll, taxes, budgeting, and compliance, while also managing employee systems including onboarding, benefits, and company policies. You will drive accountability across financials, operations, and people systems, ensuring our books are clean, cash is managed, processes are tight, and the team is supported with clear structure and consistency.

Core Responsibilities

Financial Management & Reporting

  • Maintain accurate financial records and general ledger.
  • Reconcile all bank accounts, credit cards, and loan accounts (weekly/monthly).
  • Close books monthly and produce P&L, Balance Sheet, and Cash Flow reports.
  • Monitor cash flow and flag risks or inconsistencies.
  • Ensure job costing accuracy across all departments.

Accounts Receivable & Payable (AR/AP)

  • Oversee invoicing accuracy and timeliness.
  • Manage collections and maintain clean AR aging.
  • Process vendor bills and payments (AP).
  • Maintain vendor records, W9s, and payment terms.
  • Ensure all expenses are properly coded and documented.

Payroll, Taxes & Compliance

  • Process or coordinate payroll accurately and on time.
  • Pay and file quarterly local taxes and payroll taxes.
  • Ensure compliance with all federal, state (WA & ID), and local tax requirements.
  • Manage employee reimbursements and expense tracking.
  • Support onboarding and offboarding payroll setup.

Budgeting & Financial Accountability

  • Work with department leaders to build and manage budgets.
  • Track and report actual vs. budget performance.
  • Identify inefficiencies, cost overruns, and opportunities for improvement.
  • Provide clear, actionable financial insights to leadership.

CRM & Billing Operations (ServiceTitan)

  • Learn and become proficient in ServiceTitan.
  • Ensure accurate billing, job costing, and revenue tracking.
  • Partner with Service and Install teams to streamline workflows.
  • Identify and implement best practices to improve billing and reduce revenue leakage.

Compliance, Licensing & Certifications

  • Manage all business licenses, registrations, and renewals (WA & ID).
  • Track employee certifications and continuing education requirements.
  • Ensure compliance with city, county, and state regulation.
  • Maintain organized and audit‑ready records.

Administrative & Vendor Management

  • Manage vendor relationships and contracts.
  • Serve as point of contact for IT and key service providers.
  • Oversee company devices (phones, iPads, computers).
  • Maintain organized digital and physical filing systems.

HR Administration & Company Standards

  • Maintain employee files and documentation.
  • Support onboarding and offboarding processes.
  • Administer employee benefits and record keeping.
  • Maintain and update employee handbook and company SOPs.

KPI Tracking & Operational Support

  • Track and report key business metrics (revenue, margins, efficiency, etc.).
  • Support leadership with weekly/monthly scorecards.
  • Identify gaps in performance and help drive accountability.
  • Continuously improve processes and enforce operational standards.

Inventory & Cost Control

  • Track materials, equipment, and job‑related costs.
  • Ensure proper allocation of costs to jobs.
  • Work with field teams to reduce waste and protect margins.

Qualifications

  • 5+ years of progressive bookkeeping/accounting experience—preferably in HVAC, construction, real estate, or multi‑entity environments.
  • Advanced proficiency in QuickBooks Online/Desktop, Microsoft Excel (pivot tables, V‑lookups), and familiarity with ServiceTitan or similar CRMs.
  • Proven track record of month‑end close, multi‑entity consolidations, and real‑estate accounting.
  • Strong analytical mindset with uncompromising attention to detail.
  • Excellent communication skills—able to distill complex financial data into clear insights.
  • Self‑starter with a “do whatever it takes” attitude, a positive outlook, and a commitment to our core values.
  • Associate's or Bachelor's degree in Accounting, Finance, or related field preferred (but demonstrated experience and drive matter most).
