This position plays a key role in ensuring the efficiency, compliance, and financial sustainability of departmental programs through coordination, tracking, and reporting activities.Major Responsibilities:Responsibilities include, but are not limited to:Administrative & Program SupportProvide day-to-day administrative support to the Safety, Health and Education DepartmentAssist in coordinating schedules, meetings, and documentation for department initiativesMaintain program records, files, and documentation in compliance with organizational and donor standardsSupport communication and coordination across program teamsQuality Assurance & Program MonitoringAssist in tracking and maintaining quality assurance metrics across departmental programsSupport ongoing program monitoring and evaluation processesCompile and prepare data reports to support program outcomes and continuous improvement effortsEnsure accurate documentation and compliance with regulatory or grant requirementsFinancial & Budget Management SupportAssist with invoice processing and tracking expendituresProvide administrative support for budget management systemsMonitor program-related expenses and assist in reconciling budgetsSupport development of program budgets, including data collection and documentationGrants & Funding SupportAssist in grant writing activities, including drafting, editing, and compiling required documentationHelp track grant deliverables, deadlines, and reporting requirementsSupport funding research and contribute to efforts that sustain and expand departmental programsOther tasks as assigned.Key Working Relationships:Position Reports to: Health and Wellness Program ManagerPosition Supervises: No supervisionOther Internal and/or external contacts:Internal: other IRC Spokane and Seattle program teamsExternal: ORIA and other program fundersJob Requirements:Associate's or Bachelor's degree in public health, business administration, education, or a related field (or equivalent experience)2+ years of administrative or program support experienceStrong organizational and time management skillsProficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams)Experience with data tracking, reporting, and maintaining systemsPreferred:Experience supporting public health, safety, youth or adult education, or community-based programsFamiliarity with quality assurance or program evaluation processesExperience with budgeting, invoicing, or financial tracking systemsExposure to grant writing and grant management processesWorking Environment:Standard, professional office environment (flexible remote and in-office)May require occasional weekend and/or evening work.Compensation: ($27 - $32/hour).
