Hours: 7:30 am - 4:00 PM Monday-Thursday Clayton Campus-Friday 730am-11 am Clayton,-12 pm-4 pm Preschool

Contract Year: 182 per year, 8 hours per day - 2026-2027 School Year

POSITION SUMMARY

The HomeLink Secretary/Registrar & Preschool Clerical Support position serves as the primary front-office contact for the Clayton HomeLink Campus while providing comprehensive registrar, student records, and clerical support services for HomeLink high school students and the preschool program.

This position is responsible for daily front-office operations, campus safety and facility coordination, student enrollment and attendance, transcript and records management, state reporting, and general clerical support. The position requires a high degree of accuracy, confidentiality, organization, professionalism, and customer service when working with students, families, staff, consultants, specialists, and community members.

Campus Administration & Front Office Operations

  • Manage daily front-office operations, including answering multi-line phones, directing inquiries, greeting visitors, and providing assistance to students, families, and staff.
  • Serve as the primary front-office contact for the Clayton HomeLink Campus.
  • Manage main-entrance access and monitor building security cameras in accordance with district procedures.
  • Perform daily building opening and closing procedures, ensuring classrooms and common areas are operational and secure.
  • Coordinate use of family room spaces and assist with room setup for specialists, consultants, and other service providers.
  • Coordinate classroom and facility availability with staff, schedulers, specialists, and paraprofessionals.
  • Order, receive, track, and maintain inventory of classroom, office, and building supplies.
  • Submit, monitor, and follow up on work orders related to maintenance, pest control, repairs, and other facility needs.
  • Prepare substitute teacher folders and provide daily operational support to staff, consultants, and specialists.
  • Provide assistance to families and staff with the district's ALEX student data system, including basic troubleshooting and navigation support.
Campus Safety & Health Coordination
  • Assist with the coordination and implementation of routine safety and emergency drills.
  • Provide basic first aid within the scope of training and district procedures.
  • Maintain emergency health alerts and ensure first-aid supplies and emergency bags are adequately stocked.
  • Generate and distribute semester emergency "Red Bag Reports."
  • Support campus emergency preparedness activities as assigned.
HomeLink Registrar & Student Data Management
  • Maintain accurate student attendance records in ALEX and other applicable student information systems.
  • Process student enrollment, withdrawal, and records procedures in accordance with district requirements.
  • Coordinate grading processes and procedures and ensure information is entered accurately and timely.
  • Maintain official student records and transcripts, including printing, reporting, filing, and record maintenance.
  • Maintain senior transcripts and records and assist with graduation-related documentation.
  • Manage master schedule course codes, data tracking, and related data entry in Skyward.
  • Review and correct CEDARS-related errors and ensure student and course information is accurately reported.
  • Import and enter assessment and testing information into Skyward as required.
  • Navigate Skyward to update student records, enroll students in courses, and assign appropriate CEDARS course codes.
  • Create, audit, and update official high school transcripts using grades from spreadsheets, course logs, and other approved records.
  • Post first- and second-semester class schedules and generate required system reports.
  • Communicate with colleges, universities, other educational institutions, and school districts regarding transcripts, course credits, student records, and graduation requirements.
  • Respond to transcript and records requests while maintaining FERPA and district confidentiality requirements.
  • Assist students and families with Running Start applications, scholarship information, and related post-secondary processes.
  • Provide clerical and administrative support related to HomeLink student records, scheduling, and academic services.
  • Maintain accurate and confidential student records in accordance with district, state, and federal requirements.
Preschool
  • Collect and enter preschool-related data accurately and timely.
  • Record student excuses and school-related absences.
  • Assist with student registration and records requests.
  • Prepare daily, monthly, and other reports as requested.
  • Accurately file, copy, collate, scan, and track documents and information.
  • Provide clerical support, including data tracking, data collection, data entry, filing, and record maintenance.
  • Maintain accurate and organized preschool records.
General Responsibilities
  • Maintain confidentiality of student, employee, and district information in accordance with FERPA, district policy, and applicable laws.
  • Establish and maintain effective working relationships with students, families, staff, administrators, consultants, and community members.
  • Provide professional, courteous, and responsive customer service.
  • Prioritize and manage multiple responsibilities while meeting deadlines and maintaining accuracy.
  • Provide general office support to preschool staff as assigned.
  • Perform other duties as assigned.
Minimum Qualifications
  • High school diploma or equivalent required.
  • Associate degree, specialized office training, or previous registrar experience preferred.
  • Previous secretarial, school office, registrar, student records, or educational administrative experience preferred.
  • Experience working with student information systems is preferred.
Knowledge, Skills, and Abilities
  • Knowledge of or ability to learn student information systems, including Skyward and ALEX.
  • Knowledge of or ability to learn Washington State student reporting requirements, including CEDARS.
  • Strong computer skills, including Microsoft Office and Google Workspace.
  • Strong data entry and recordkeeping skills with a high degree of accuracy.
  • Excellent oral and written communication skills.
  • Strong customer service skills and the ability to interact professionally with students, families, staff, and community members.
  • Ability to establish and maintain collaborative working relationships.
  • Ability to work effectively with individuals from diverse socioeconomic, cultural, and ability backgrounds.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize responsibilities in a fast-paced school environment.
  • Ability to work independently while exercising appropriate judgment and discretion.
  • High degree of professionalism and ability to maintain strict confidentiality of student and district information.
  • Familiarity with alternative education programs and HomeLink environments is preferred.
  • Ability to learn and apply district policies, procedures, systems, and reporting requirements.

Salary: $23.46-$29.31 per hour. Initial placement is based on applicable experience in accordance with the Office Personnel (DPAEOP) Collective Bargaining Agreement. Additional compensation may be available as provided in the negotiated agreement. Pay is annualized over 12 months (if hired after Sept, spread over the remaining months of the contract year (Sept-Aug)). Placement is defined within the Collective Bargaining Agreement (CBA) and is generally based upon experience.
